Before the visit

• Give the tenant at least 24 hours' written notice (email is fine if your tenancy permits electronic service).
• Visit at a reasonable time of day.
• Confirm the tenant is happy with the proposed time. If they aren't, offer alternatives — you cannot enter without consent in the absence of an emergency.
• Take a copy of this checklist, a phone for photos and a torch.

Tenant conversation

• Ask whether there is anything not working or anything they have reported that is unresolved.
• Ask specifically about damp, mould or condensation. Awaab's Law timetables currently apply to social landlords only. The government has committed to extending them to private renting at a later date.
• Confirm contact details for reporting future issues are still correct.
• Note any tenant requests (e.g. permission to keep a pet under the RRA 2025 process).

After the visit

• Write up findings the same day and share a copy with the tenant.
• Where a hazard is found, record the date you became aware of it.
• For category 1 HHSRS hazards (e.g. severe damp & mould, excess cold, electrical), instruct a contractor immediately and keep a written record of every step.
• Diary the next inspection (typically every 6 months, never more often than necessary).
