A running safety log for landlords in England covering the annual gas safety check and the five-yearly electrical installation condition report. Records the date of each check, who did it, when the record was given to the tenant and when the next one is due.

Gas safety check log

Complete one row per annual check. Regulation 36 requires appliances and flues to be checked for safety at intervals of not more than 12 months by a Gas Safe registered engineer.

Electrical installation (EICR) log

Complete one row per inspection. The 2020 Regulations require the electrical installation to be inspected and tested at intervals of no more than five years, or sooner if the report specifies.

Gas — what the regulations require

Regulation 36 of the Gas Safety (Installation and Use) Regulations 1998 places duties on landlords in relation to relevant gas fittings and flues in the premises.

  • Each appliance and flue must be checked for safety at intervals of not more than 12 months.
  • The check must be carried out by a person registered on the Gas Safe Register.
  • A copy of the record must be given to each existing tenant within 28 days of the check being completed.
  • A copy must be given to any new tenant before they occupy the premises.
  • Records must be retained for the period specified in regulation 36 — until two further checks have been made, and for two years where an appliance is removed.

Electrical — what the regulations require

Regulation 3 of the Electrical Safety Standards in the Private Rented Sector (England) Regulations 2020 requires landlords to ensure the electrical safety standards are met and that the installation is inspected and tested by a qualified and competent person.

  • Inspection and testing at intervals of no more than five years, or more often where the report requires it.
  • Supply a copy of the report to each existing tenant within 28 days of the inspection.
  • Supply a copy to a new tenant before occupation, and to a prospective tenant within 28 days of a request.
  • Where the report identifies remedial or further investigative work, carry it out within 28 days (or sooner if the report says so) and obtain written confirmation.
  • Supply a copy to the local housing authority within 7 days of a request.

Good-practice notes

  • Book the next gas check a month before the 12-month deadline — an expired certificate cannot be backdated.
  • Keep the tenant's acknowledgement of receipt with each certificate; the 28-day service date is what gets challenged.
  • Store certificates for the whole period you own the property, not just until the next one.
  • Smoke and carbon monoxide alarm checks are a separate duty — log those alongside these.

This log is a record-keeping aid drawn from the regulations and regulator guidance listed above. It is not a substitute for the statutory gas safety record or the EICR itself, both of which must be produced by the registered or qualified person carrying out the work.
